Interpretating Procedures
Osborn staff,
As we enter a new distance learning school year I would like to remind you of the interpreting and translation request procedures at Osborn. Without a doubt, strong communication is important with families. While we strive to provide these services to all, it is important to send your requests with adequate time to schedule an interpreter or provide a high quality translated document. We are very fortunate to have 3 ELL Paraprofessional positions half-time at all 6 school sites for K-8 and Romina Salgado for Pre-K. Plus, many bilingual (Spanish) staff at each campus and district office to help assist you in providing excellent positive relationships with our families.What is the difference between an interpretation and translation?
An interpretation is spoken communication between two parties that speak a different language and translating is a written document converted to a different language.
Procedure for requesting an INTERPRETATION:
- Please double check the family needs an interpreter.
- Provide adequate time (7 days) to schedule an interpretation such as a parent meeting and/or IEP meetings.
- Use the Interpretation Request Form. You can also find this link on the Osborn website in Staff Links.
- ELL Para (Spanish) and/or Jennifer Page (Other languages) will confirm the appointment once the request is received (Romina Flores is available for Pre-K Spanish interpretations).
***NOTE: Parent-teacher conferences will be scheduled 2-3 weeks in advance to ensure adequate services for all families. More communication about this process will be provided.***
Procedure for TRANSLATING (Spanish Only):- Provide adequate time to complete the translation
- 2-3 days to translate a 1-2 page document
- 4-5 days for a 3 pages or more document.
- Email your site ELL Para for a translating request of a document.
- ELL Para will confirm once the request is received.
***NOTE: We encourage you to use Google Translate, ClassDojo, etc to translate in other languages.***
Please make every effort to schedule meetings requiring a Spanish interpreter on the days the ELL Parapro is scheduled at your school site. They will be available from 7:30AM-4:00PM (Mon., Tues., Thurs., Fri.) and 7:30-2:00 (Wed.) to meet all their job responsibilities as well as interpret and translate.

Interpreters for Parent/Teacher Conferences
Interpretation requests are handled differently during Parent-Teacher conferences than the rest of the year.
Spanish interpreters are trained and hired by Monica Artea, the Language Acquisition Specialist at the District Office. During the Fall of 2020 these interpreters are scheduled to interpret through Google Meet, Zoom and other phone and video conference call platforms. If you wish to sign up to be a Spanish Interpreter please email your site EL Parapro:

Monica will contact teachers with available time slots and interpreters to schedule Spanish interpretation requests for the Parent Teacher conferences.

Osborn School District uses staff for all Spanish interpretation requests. Please do not use a third party company for Spanish. Once your form has been submitted one of our staff will reach out to you.

Changing Google Meets Subtitles
One option available to teachers is scheduling a Google Meets meeting with a parent and giving the parents instructions on how to turn on subtitles in the meeting and change the language of the subtitles.

Parent receives a Google Meets invitation from the teacher

Parent enters the meeting at the appointed time

Click on the Turn On Captions icon on the bottom right side of the screen

Right click on the Turn On Captions icon

A translation box will pop up with the default language on your computer (for instance, Translate to Espanol). If the language is not what you want go to the address bar and click on the Google Translate icon.

If the language is not what you want click on the 3 dots to the right of the language

Click on Choose Another Language

Click on the Language you want

Click on Translate

If you want to change the language back to English click on the translate icon in website address bar
